The doctor said it had been a close call.<\/p>\n<p>The real risk was bigger than the power outage.<\/p>\n<p>The practice had paid for a full office system, but it used the software only for X-rays. Appointments, bills, and most patient records were still kept on paper.<\/p>\n<p>A fire could have destroyed the office and every filing cabinet inside it. The X-rays had backups, but the practice could not have rebuilt the rest of its patient records.<\/p>\n<h2>The move felt too big<\/h2>\n<p>The doctor knew the paper records were a risk. The office just did not know how to move years of records into the computer without stopping patient care.<\/p>\n<p>Moving every file at once would have taken a great deal of time. The staff would also have needed to learn a new way of working while still caring for patients each day.<\/p>\n<p>We needed a plan that fit the normal work of the office.<\/p>\n<h2>We made a six-month plan<\/h2>\n<p>Every new patient started in the digital system. This stopped the paper files from growing.<\/p>\n<p>Current patients were added when they came in for an appointment. During the six-month change, the staff used the paper chart and entered the same patient into the digital system.<\/p>\n<p>Most active patients visited the office during those six months. By the time the office switched fully to the new system, much of the work was already done.<\/p>\n<p>The staff marked the paper charts that were still left. Those patients were moved into the system when they returned.<\/p>\n<p>The staff had to enter some information twice during the change. That added work, but only for a short time. It also gave the team time to learn the system and fix problems without stopping patient care.<\/p>\n<h2>The active practice became digital<\/h2>\n<p>Within the first year, the active patient records were in the digital system.<\/p>\n<p>Appointments, bills, patient notes, documents, and X-rays could now be backed up together. An offsite backup protected the records if something happened to the office.<\/p>\n<p>The lightning strike showed the danger. The six-month plan gave the staff a safe way to fix it.<\/p>\n<h2>A lesson for other businesses<\/h2>\n<p>A business may know that an old process needs to change but still feel stuck because years of work are stored in it.<\/p>\n<p>These questions can help:<\/p>\n<ol start=\"1\">\n<li>Can all new work start in the new system now?<\/li>\n<li>Can old records be moved when employees already need to use them?<\/li>\n<li>How long will the old and new systems run together?<\/li>\n<li>How will the staff find and finish the records that remain?<\/li>\n<li>Will the backup protect the whole business after the change?<\/li>\n<\/ol>\n<p>A useful plan shows people how to move from the old way of working to the new one without bringing the business to a stop.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>A dental practice had years of paper records.
